Moving to Stalwart mail can be gradual, but it still changes daily work

Mail migration friction appears in identity, devices, delivery, shared resources, compliance, and the small habits people rarely document.

Stalwart provides a strong shape for a careful mail migration. Its migration proxy can keep the existing hostname, ports, and passwords while accounts move one at a time. That reduces disruption. It does not remove the need to understand the organisation around the mailbox.

Mail is a network of workflows

Start with more than the inbox. List aliases, shared mailboxes, groups, calendars, contacts, filters, stored files, mobile devices, desktop profiles, scanners, alerts, CRMs, and application relays. A mailbox can be copied correctly while an important workflow still fails.

  • Users who sign in with a full address or a short name
  • Shared mailboxes, delegation, groups, and distribution lists
  • Calendars, contacts, filters, flags, folders, and stored files
  • SMTP relays, scanners, alerts, websites, and line-of-business software
  • DNS, authentication, spam controls, retention, and recovery

Coexistence is a decision for the organisation

A small team may prefer one cutover window. A larger team may need a pilot, split delivery, or a read-only legacy period. Each option creates different support work. Users need to know which system owns their account, where new mail goes, and who can fix a delivery problem during the move.

A session can still be interrupted

An account-by-account move can avoid a full outage. A live mail session may still be disconnected when its account switches. That can be acceptable if the client reconnects cleanly. Test it on the actual desktop and mobile clients your team uses. Do not rely on a protocol checklist alone.

Prove recovery before you retire anything

Move a pilot group. Compare message counts and folders. Check a calendar, a contact, a filter, a shared resource, inbound mail, outbound mail, and an application relay. Run a rollback drill while the old copy is still current. Retire the old system only after recovery, retention, and support owners are clear.
